Calling Lists

The Calling List feature allows you to create targeted phone outreach campaigns using Buzz360 audiences and forms. Calling Lists combine audience targeting, dialing tools, and survey scripts to capture call outcomes and automatically update or create contacts in your CRM.

Calling Lists are ideal for: - Voter ID - Volunteer recruitment - Issue and opinion surveys - GOTV and ballot chase calling - Follow-up calls tied to a specific audience


1. Define an Audience to call

2. Create or select a Calling Script & Survey Form

3. Build a Calling List outreach

4. Call results are submitted through the form

5. Submissions are imported to update or create contacts


Before creating a Calling List, you must have an audience defined.

1. Go to Audiences

2. Create a new audience or select an existing one

3. Apply the filters needed for your calling program (voters, volunteers, supporters, etc.)

4. Save the audience

This audience determines who appears in the Calling List.


Calling Lists use Forms to guide callers and capture call results.

1. Go to Forms

2. Create a new form or select the provided Calling Script & Survey Template

3. Customize the form as needed:

o Opening calling script

o Survey questions

o Call outcome options (e.g. answered, voicemail, wrong number)

o Create the voicemail message script for the callers to read on the recipient’s voicemail if the call goes to voicemail.

4. Save the form

This form will be attached to the Calling List and used to record each call.


1. Go to Outreach

2. Click New Message

3. Select Calling List

You will see the Calling List setup screen.

Give your Calling List a clear name for internal tracking and reporting.

Select the audience you created in Step 1.

Or click on the “people” icon to switch to choose a “tag.”

Choose a Tag

Choose how calls are placed: - Manual (1:1) – callers dial one contact at a time - Power Dial (Multiple Simultaneous) – automatically dials multiple numbers to increase call volume. You can set how many calls your Advocates can dial simultaneously.

Select the phone number that will appear on the recipient’s caller ID.

This must be a phone number already available in your Buzz360 account.

Survey Script (Form)

Select the form created in Step 2. Once selected, a Survey Script Preview will appear on the right side of the screen so you can review the script and questions.

· Starts At – when the Calling List becomes active

· Expires At – when the Calling List automatically ends

4. Click Save or Save as Draft

Once saved, the Calling List will appear under Outreach > Calling Lists.


As calls are completed, callers submit results using the attached form. Each submission records call outcomes and survey responses tied to the audience.


1. Go to Forms

2. Select the calling form used for the Calling List

3. Click Submissions

4. Review all call responses and outcomes

Submissions may include: - Answered / not answered - Survey responses - Notes or comments from callers. Add the responses to the existing contact.


Step 6: Import Submissions Into Contacts

Form submissions can be imported directly into the Buzz360 CRM.

1. From Forms > Submissions, select one or more submissions

2. Import them into Contacts

o If the contact already exists, it will be updated

o If the contact does not exist, a new contact will be created

3. Imported data is attached to the contact record for future outreach and reporting

This ensures your calling data stays connected to your broader voter or supporter file.


Best Practices

· Use clear call outcome options for consistent data

· Preview scripts before launching a Calling List

· Set expiration dates to avoid outdated campaigns

· Import submissions regularly to keep contact records current

· Pair Calling Lists with follow-up SMS, email, or relational outreach
